Allotment Minutes October 2023

Meeting of Cherry Willingham Parish Council’s 

Allotment Sub-Committee 

held on Monday 02nd October 2023 at 7.00pm at the Millennium Hall

 

Present: Cllr Bridgwood (Chair), Cllr Brylewski (Vice-Chair), Cllr Mrs Burge, Cllr Burge, Cllr Trahearn and Donna Townsend.

Meeting started at 7pm.

 

One members of the public were present

 

A member of the public spoke requesting more monitoring of the gate closure and lock of the gate needs more enforcement. There has been a recent incident where a delivery of wood chippings has been delivered and they have let themselves in which in return this means the gate code has been given out. The person responsible for the delivery hasn't come forward.

 

leaving the gate open or unlocked could result in unauthorised visitors.

 

RESOLVED unanimously to send an email out explaining and reiterating what has happened and the rules within everyone's tenancy. The gate code will be changed one last time. If such an incident happens again then alternative actions and measures will be taken and will incur a cost to allotment holders.

  1. To appoint a minute taker.

RESOLVED unanimously. Assistant Clerk was elected to take the minutes

 

  1. To co-opt a member on to the Allotment Sub-committee

RESOLVED unanimously to co-opt Ms Townsend onto the allotment committee.

 

  1. To resolve to receive any apologies and accept reasons for absence council in respect of the agenda items listed below. Declaration of interest:

NONE.

 

  1.  To record declarations of interest by any member of the council in respect of the agenda items listed below.

Members declaring interests should identify the agenda item and type of interest being declared

To note dispensations given to any member of the council in respect of the agenda items listed below.

To note the co-opted member is an allotment holder.

 

  1. to agree to sign the minutes from the allotment meeting from the 10th July 2023 as a true record.

RESOLVED unanimously to sign the minutes as a true record.

 

  1. To discuss and resolve the Allotment entrance access quotes.

RESOLVED unanimously to take the cheapest quote to Full Council for approval. The Assistant Clerk to ask the chosen contractor for the quote to be itemised.

  1. To discuss and resolve any actions in relation to the allotment holders joining the allotment association.

RESOLVED unanimously that the draft letter proposed to be sent to all allotment holders.

  1. Update on vacant plots and those not complying with their tenancy

No vacant plots at this time the three that became available after the last meeting have just been allocated. Two plots have been written with regards to complying to  keeping their plots within a tidy state on two occasions. The Ass/Clerk and Cllr Trahearn to go and and do a check of all unkempt plots on the 3rd October 23. These two plots to be issued there final warning with another email, will reevaluate in time of next allotment meeting.

 

  1. To discuss and resolve matters relating to the Halloween get together.

RESOLVED unanimously that this was a wonderful idea to bring the allotment community together. Was requested that the Ass/Clerk send out the poster inviting all allotment holders.

  1. To confirm a date for the next meeting.

RESOLVED unanimously the next meeting to be held 15th January 2024 at the Millenium Hall.
