Minutes of Cherry Willingham Parish Council’s Events and Fundraising Committee held on Tuesday 13th May 2025 at 19:00 in the Millenium Hall

RESOLVED unanimously to elect Cllr. Bates

  1. To note and record apologies and absences

  1. To record declarations of interest by any member of the council in respect of the agenda items listed below.

To note dispensations given to any member of the council in respect of the agenda items listed below.

Cllr. Bates declared an interest in the future events, being a contractor for the Gala.

  1. To receive the minutes of the meeting held on 2nd April 2025 and approve them as a true record

RESOLVED unanimously to approve the minutes of the 2nd April 2025 as a true record. 

  1. To receive an update on the progress relating to the Survey Monkey that had been circulated.

10 responses have been received, but only 1 person offered any help. That person to be contacted.

  1. To receive an update on the FCC grant application and the Events and Fundraising participation.

Monies have been received. Agenda item now closed.

Fun Dog Show: Stalls: Sturton and District Shed Club, Waggy Wash (n.b. has since given backword but will still provide a prize), G & S Home Bakes (someone will need to pick them up from Ladymeers), Veterinary Hospital, Bae Tree Pet Supplies, Daisy Made, Catering van, Mason Bakes, Megan Desforges, Fudge/Halo Bespoke lamps (TBC). The grass cutting will be done the week before by Glendale. Posts for ring to go in Saturday morning. Will need 4 tables, 3 gazebos, rope, signs for wheelie bins, podium, PA, wheelie bin liners, folding picnic chairs, dog poo bags, water bowls, water, first aid kit, red gazebo, two-way radios, floats (2 x £30), raffle tickets, donation buckets. Toilets arriving on the Friday. Pens for registration, Cllr Bates will re-do the classes sheets. List of classes and times to send to clerk. List of stalls & classes to Cllr. Robinson with photos of last year.

Set-up time will be 8.30 (posts, ropes, gazebos)

Ring Steward: Cllr Palmer

Raffle tickets: Cllr Mrs Burge and Mrs J Laity

Announcer: Cllr Bates

Litter picking: Cllr. Mrs Burge + all at the end

Stalls: Cllr. Pitchford (collect £10s and raffle prizes)

First Aid: tbc. Need water, sweets and chairs

Notices about the parking to go up the previous week in Cherry Fields. 

 

  1. Gala: Cllr Pitchford brought general plan of the event, showing layout. There will be an area for picnics. The gateway is large enough to get the bouncy castle vans through. The outdoor bowls club will do a roll-up, but will not do teas. Food vendors will be in 1 row to keep generators in 1 place. There will be between 20/30 stalls. The car show has 20?30 entries. Pub has and will allow plastic glasses. Car park, suggest £1 donation for parking. Stall holders will pay £10, food vendors 10% of takings.

 

  1. Light switch on: Resolved unanimously to book the Vine for 29th November.

  2. Christmas Quiz: Resolved unanimously to book the Village Hall for 13th December.
